Volunteer Terms and Conditions

Second Bloom Ministries Volunteer Terms & Guidelines

Thank you for volunteering with Second Bloom Ministries (SBM)! We’re excited to have you help us share God’s love through flowers. To ensure a safe, enjoyable, and meaningful experience for everyone, please read and agree to the following:

Relationship & Status

Volunteering with SBM is at-will, which means you can stop volunteering at any time, and SBM can end volunteer participation at any time for any reason. Volunteers are not employees, agents, or contractors, and you will not receive payment for your time, services, or participation. Any pre-approved reimbursements for expenses, such as fuel, supplies, or other costs directly related to volunteer duties, must be authorized in writing by SBM in advance. Volunteers are responsible for their own transportation, meals, and personal expenses unless otherwise noted.

Eligibility & Registration

All volunteers must register in advance and provide requested information, including full name, phone number, email address, emergency contact, and any relevant medical conditions or allergies that may affect participation. This information will be used solely for volunteer coordination, safety, and emergency purposes. Volunteers under 18 years of age must have a parent or guardian complete a Parental Consent form and must be accompanied by a responsible adult for deliveries, unless special written permission is granted by SBM. Parents or guardians may also be asked to provide emergency contact information for the minor. SBM reserves the right to deny participation to any volunteer, including minors, if safety or supervision requirements are not met.

Background Checks & Screening
Some volunteer roles (e.g., delivering to private homes, working with vulnerable adults or minors) may require a background check. By volunteering, you consent to these checks if requested. SBM reserves the right to decline or revoke volunteer privileges based on results or other screening information.

Volunteer Duties & Conduct

Volunteers agree to follow all SBM policies, procedures, and instructions provided by staff or designated leaders. Conduct should be professional, respectful, and consistent with SBM’s faith-based mission. Harassment, discrimination, abusive language, or other inappropriate behavior will not be tolerated and may result in immediate removal from volunteer activities. Volunteers should maintain appropriate boundaries with recipients and the public: do not solicit personal information beyond what is necessary to deliver flowers and accompanying verses or notes, and do not accept gifts, money, or tips unless explicitly authorized in writing by SBM. Volunteers are expected to act in a manner that reflects the values of SBM, ensuring a safe, welcoming, and positive experience for everyone involved.

Safety, Health & Allergies

Please disclose any allergies or medical conditions that could affect your participation. SBM will make reasonable accommodations when possible. Wear appropriate clothing and closed-toe shoes for flower preparation or event setup. Gloves or other PPE may be required. If you are sick or showing contagious symptoms, please stay home and notify SBM. Volunteers understand and accept that participating in activities involving flowers, plants, and greenery may expose them to allergens. Second Bloom Ministries is not responsible for any allergic reactions or health-related issues that may occur as a result of participation.

Transportation & Driving

Volunteers driving for SBM must have a valid driver’s license and proof of insurance. Follow all traffic laws, wear seatbelts, and do not drive under the influence of alcohol, illegal drugs, or impairing prescription medications. Volunteers are responsible for their own transportation to, from, and during volunteer activities, including pickup and delivery of flowers, using their personal vehicles at their own discretion. Volunteers must maintain valid registration, insurance, and a current driver’s license as required by law. SBM is not responsible for any accidents, damages, injuries, citations, or other issues that occur during travel or deliveries.

Handling Recipient Information & Privacy

Recipient information, including names, addresses, phone numbers, and health details, is confidential and should only be used for delivering bouquets and carrying out volunteer duties. Volunteers must not share recipient lists or details with any third parties. Any lists or information provided by partners should be returned or destroyed according to SBM guidelines after use. Photos, Videos & Social Media

By volunteering, you grant Second Bloom Ministries permission to take and use photographs and/or videos of you, donated materials, and volunteer activities for ministry purposes. This includes, but is not limited to, use on social media, our website, newsletters, and other promotional materials. All images will be used respectfully to share the mission of Second Bloom Ministries. Out of respect for those we serve, volunteers should not take or post photos of recipients or their locations without express permission from SBM. If you wish to opt out of being photographed or recorded, you must notify SBM in writing before participating in any volunteer activities.

Risks, Release & Responsibility
Volunteering involves some risks (transportation, slips, allergic reactions, unfamiliar environments). You assume all risks. To the extent permitted by law, you release SBM, its staff, volunteers, partner organizations, and venues from any claims for injury, damage, or loss, except for intentional misconduct or gross negligence. Volunteers also agree to indemnify SBM against claims arising from negligent or willful acts.

Medical Emergencies

In the event of an injury or medical emergency, SBM may call emergency services and/or arrange for medical care or transport if necessary. Volunteers authorize SBM to seek emergency assistance on their behalf if they are unable to communicate or make decisions. Volunteers are responsible for their own medical expenses, insurance coverage, and any costs arising from such treatment. Second Bloom Ministries and its representatives are not liable for the actions of medical personnel or for outcomes resulting from emergency care.

Training & Supervision

Volunteers must attend all required training sessions before participating in activities. Training may include topics such as flower handling, safe lifting techniques, delivery protocols, and privacy and consent best practices. Volunteers are expected to follow the buddy system or any other supervision protocols as instructed, particularly when delivering to private homes or working with vulnerable populations. Completing training ensures volunteers are prepared, confident, and able to provide a safe and positive experience for recipients and fellow volunteers.

Property & Supplies

All tools, supplies, and donated materials provided by SBM remain the property of SBM and must be returned promptly after use, unless otherwise instructed. Volunteers are responsible for taking care of these items while in their possession. Do not remove or take any property from event venues, donors, or partner locations without explicit permission from SBM.

Confidentiality & Reporting Concerns

Volunteers must keep all confidential information about donors, recipients, and internal SBM operations private. This includes names, contact information, health details, and any other sensitive information. If a volunteer becomes aware of suspected abuse, neglect, exploitation, or any other concerning behavior involving a recipient, they must report it immediately to SBM staff and, if required by law, to the appropriate authorities. Prompt reporting helps ensure the safety and well-being of all recipients.

Cancellation & Changes

SBM reserves the right to cancel, reschedule, or modify volunteer activities due to weather conditions, safety concerns, low volunteer turnout, venue rules, or other operational needs. Volunteers should notify SBM as soon as possible if they are unable to attend after signing up, so we can make alternative arrangements and ensure the activity runs smoothly.

Termination of Volunteer Status

SBM reserves the right to terminate a volunteer’s participation at any time, with or without notice, for violations of these terms, unsafe or inappropriate conduct, failure to follow instructions, or any behavior that could harm recipients, other volunteers, or the ministry’s reputation. Termination decisions will be made at the discretion of SBM staff or leadership.

Legal & Miscellaneous
This agreement is governed by the laws of the state in which SBM is incorporated. If any provision is unenforceable, the rest remain in effect. This document constitutes the full agreement between the volunteer and SBM regarding volunteer activities.
